This is a full-time, in-office position. This role is not hybrid. The Event Manager is expected to be present at assigned events and must have flexibility to work evenings, weekends, and holidays as business needs require.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Manage assigned events from contract handoff through planning, execution, and post-event follow-up.
  • Serve as a primary point of contact for clients throughout the event planning process, providing attentive and professional service.
  • Conduct detailed planning meetings and site visits with clients to understand event objectives, preferences, timelines, and requirements.
  • Working with the Sales Manager, the responsibilities will include recording all event details, including food and beverage selections, menus, floor plans, timelines, rentals, production needs, entertainment, décor, and other event requirements.
  • Prepare, maintain, and distribute accurate Banquet Event Orders (BEOs) and related event documentation.
  • Communicate event details, changes, and client expectations clearly and accurately to all relevant departments.
  • Partner closely with Culinary, Banquets, Operations, Sales, Production, Finance, Security, and other internal teams to ensure seamless event execution.
  • Coordinate with approved external vendors, planners, production companies, and other event partners as required.
  • Participate in tastings, walkthroughs, production meetings, and pre-event meetings.
  • Identify opportunities to enhance the guest experience and maximize event offerings through appropriate food and beverage, service, and event enhancements.
  • Monitor event timelines, logistics, and operational requirements to proactively identify and resolve potential issues.
  • Be present for assigned events and serve as a key liaison between the client and internal operations teams throughout execution.
  • Ensure event spaces, service standards, and overall presentation meet Cipriani standards and agreed-upon client expectations.
  • Respond professionally and effectively to last-minute changes, client requests, and operational challenges.
  • Review event details and final changes to support accurate billing and event reconciliation.
  • Maintain organized and accurate event records within company systems.
  • Conduct appropriate post-event follow-up and communicate relevant client feedback internally.
  • Build strong relationships with clients, planners, vendors, and internal partners to support repeat business and long-term relationships.

KNOWLEDGE, EXPERIENCE AND SKILLS

  • Strong knowledge of food and beverage, catering operations, and event planning and execution.
  • Experience managing events from planning through on-site execution.
  • Experience preparing and working with BEOs, floor plans, event timelines, and other event documentation.
  • Strong client-service and relationship-management skills.
  • Excellent verbal and written communication skills with exceptional attention to detail.
  • Strong organizational and time-management skills with the ability to manage multiple events and competing priorities simultaneously.
  • Ability to remain composed, solutions-oriented, and professional in a fast-paced environment.
  • Professional, confident, and polished presence with the ability to represent the Cipriani brand.
