Job Description

Key Responsibilities

• Event Planning & Execution: Coordinate events from planning through post-event wrap-up, managing timelines, budgets, logistics, run-of-show documents, venues, catering, AV, transportation, and branding. Oversee trade show operations, including booth setup, shipping, exhibitor coordination, and show services.
• Vendor Management: Source vendors, compare quotes, support contract negotiations and invoice reconciliation, and maintain vendor relationships to ensure quality and cost efficiency.
• Stakeholder Collaboration: Coordinate planning meetings, communicate updates, track action items, and ensure compliance with procurement, finance, brand, and operational guidelines.
• Event Logistics & On-Site Support: Prepare event materials, manage setup and execution, oversee attendee and exhibitor needs, track event assets, and resolve issues in real time.
• Post-Event Reporting: Reconcile costs, evaluate event outcomes, document lessons learned, and maintain templates and processes to improve consistency and efficiency.
